Product vs. Custom: Choosing the Right Build Strategy for Your Next System

Almost every software decision eventually comes down to three options: buy something off the shelf, buy something and customise it, or build from scratch. Teams usually reach for a comparison of cost and features first. We think the better starting question is: how close is this to your competitive edge?

If the system you need is genuinely a solved problem, standard accounting software, a common CRM workflow, general-purpose email marketing, buying is almost always faster and cheaper than building, and the maintenance burden belongs to someone else. Where this breaks down is when a team buys a generic tool and then spends a year customising it into something the vendor never designed for, at which point you've paid twice: once for the licence, once for the workaround engineering.

Custom development earns its cost when the workflow itself is part of what makes the business work, when the process you're digitising is specific enough that no vendor built for it, or when you need to own the data and the roadmap outright. It's a bigger upfront investment, but it's the only option that bends to fit you rather than the other way round.

Our rule of thumb with clients: if you could describe your ideal system by pointing at a competitor's product, buy or customise. If you can't, that's usually a sign it's worth building.
